BACKGROUND:

To fulfill its mission, the Office of CEHP provides a wide range of services including CME certification, direct-mail marketing, web promotion, online registration, logistics management, evaluation, etc. It recognizes that certain departments may be sufficiently staffed to provide some of these same services. Also, due to the seasonal nature of the medical meetings industry and/or the technical requirements of some CME activities, it may not be possible for either the Office of CEHP or a clinical department to fulfill required roles for a successful activity.

POLICY:

When the Associate Vice President for Educational Resources deems the department or Office of CEHP unable to provide required support for a CME activity due to scheduling or special technical requirements, etc., the sponsoring department may be eligible to manage the activity on its own. If a department believes its departmental staff to be capable of managing logistical and/or other aspects of a CME activity, a written agreement must be executed with the Office of CEHP to address: 1) accurate financial reporting, 2) compliance with CME accreditation requirements, 3) compliance with University policies and practices, and 4) respective roles and responsibilities.

If the sponsoring department does not have requisite staff to manage a CME activity in lieu of the Office of CEHP, only then may the services of a third-party provider be contracted. Such contracts must be reviewed and approved in advance by 1) the Office of CEHP, 2) the Associate Vice President for Educational Resources, and 3) the Vice President and Treasurer to ensure complete compliance with University policy and the Essentials and Standards established by the Accreditation Council for Continuing Medical Education.
